PIMS Technologies Limited ("PIMS", "we", "us" or "our") builds trusted digital infrastructure for businesses across Africa — business platforms, fiscal-compliant point of sale, payment technology, cloud services and APIs. This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices and rights available to you.
This policy applies to our websites (including pimstechnologies.com and pimsafrica.com), our software platforms and applications, and our related communications and services (together, the "Services").
1. Who this policy covers
Depending on how you interact with us, you may be:
- A website visitor — someone browsing our sites or contacting us through them.
- A customer — a business (and its authorised users) that subscribes to and operates on our platforms, such as PIMS Africa or PIMS POS.
- A customer's end user — for example, a person who buys from a business that uses PIMS, and whose transaction is processed or fiscalized through our Services.
Where a business uses our platform to process information about its own customers, staff or suppliers, that business is the party responsible for that information and PIMS acts as a processor on its behalf, under our agreement with that business.
2. Information we collect
Information you give us
- Contact and enquiry details — such as your name, business name, email address, phone number and the content of messages you send us through our website, email or messaging channels.
- Account and business information — when you register for or are set up on our platforms: business name, registration and tax identifiers, contact details, branch and user details, and login credentials.
- Operational data you enter into the platform — such as products, inventory, invoices, sales, customer and supplier records, and staff or payroll details that you choose to manage in PIMS.
Information generated through use of the Services
- Transaction and fiscal data — records of sales and invoices processed through our point of sale and platforms, including data required to generate fiscal receipts.
- Payment-related information — where payments are accepted through our technology, limited details needed to initiate and reconcile a transaction. PIMS operates as an integrator that settles funds directly to the merchant's account; PIMS does not custody or hold customer funds, and card and sensitive payment credentials are handled by our regulated payment partners, not stored by us.
- Technical and usage data — such as IP address, device and browser information, log data, and pages or features accessed, collected to keep the Services secure and working.
Messaging channels
If you contact us or receive service messages via SMS, USSD or WhatsApp, we process the phone number and message content necessary to deliver those communications. Messages sent over WhatsApp are also subject to WhatsApp's and Meta's own terms and privacy practices.
3. How we use your information
- To provide, operate, maintain and improve the Services.
- To set up and administer accounts, authenticate users and provide support.
- To generate invoices and fiscal receipts, and to meet fiscal and tax-compliance obligations.
- To process and reconcile payments through our payment partners.
- To send transactional and service communications — for example receipts, one-time passcodes, and account or payment notifications.
- To respond to your enquiries and requests.
- To secure our Services, prevent fraud and abuse, and maintain auditability.
- To comply with legal, regulatory and record-keeping obligations.
We do not sell your personal information.
4. Legal bases for processing
We process personal information where we have a lawful basis to do so — including where it is necessary to perform a contract with you, to comply with a legal obligation (such as fiscal and tax requirements), to pursue our legitimate interests in operating and securing the Services, or on the basis of your consent where consent is required. Where we rely on consent, you may withdraw it at any time.
5. How we share information
We share personal information only as needed to run the Services and meet our obligations, including with:
- The Zambia Revenue Authority (ZRA) — fiscal invoice data is submitted to the ZRA Smart Invoice system as a required part of fiscalization.
- Payment partners and financial institutions — to process and settle payments directly to the merchant.
- Communications providers — such as SMS, USSD and WhatsApp/Meta messaging providers, to deliver messages you have requested or that form part of the Service.
- Infrastructure and service providers — such as hosting, cloud, security, backup and analytics providers who process data on our behalf under appropriate confidentiality and data-protection commitments.
- Legal and regulatory authorities — where required by law, regulation, or valid legal process, or to protect our rights, users and the integrity of the Services.
- In connection with a business transaction — such as a merger, acquisition or reorganisation, subject to this policy.
Fiscal records submitted to ZRA form part of a compliance record and are retained as required by law.
6. Data retention
We keep personal information for as long as needed to provide the Services and for legitimate business purposes, and for as long as required to meet legal, fiscal, accounting and audit obligations. Fiscal and transaction records in particular are retained for the periods required by Zambian tax and record-keeping law. When information is no longer required, we take reasonable steps to delete or anonymise it.
7. Security
Security and auditability are built into how we design our Services. We apply technical and organisational measures — including access controls, encryption in transit, tenant isolation, and monitoring and backup — to protect personal information against unauthorised access, loss, misuse or alteration. No method of transmission or storage is completely secure, but we work continuously to protect your information and to respond appropriately to any incident.
8. Your rights
Subject to applicable law, including Zambia's data-protection legislation, you may have the right to:
- Request access to the personal information we hold about you.
- Request correction of information that is inaccurate or incomplete.
- Request deletion of your information, where there is no overriding legal obligation to retain it.
- Object to or request restriction of certain processing.
- Withdraw consent where processing is based on consent.
To exercise any of these rights, contact us using the details below. Where you are a customer's end user, we may direct your request to the business that controls your information. We will respond in line with applicable law.
9. Cookies and similar technologies
Our websites and platforms may use cookies and similar technologies to keep you signed in, remember preferences, keep the Services secure, and understand how they are used. You can control cookies through your browser settings; disabling some cookies may affect how the Services work.
10. Children
Our Services are intended for businesses and adults. They are not directed to children, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can take appropriate action.
11. International transfers
We are based in Zambia and primarily process information there. Some of our service providers may process information in other countries. Where information is transferred across borders, we take reasonable steps to ensure it remains protected consistent with this policy and applicable law.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide additional notice. We encourage you to review this page periodically.
